How It Works

1

Configure

Choose your label size, which fields appear on each sticker, and set the school year.

2

Export Your Photos

Use GotPhoto's standard folder download, a PSPA/yearbook export with its index file, or name files with the format shown in the app.

3

Generate

Upload your ZIP, preview every sheet on screen, then download a print-ready PDF perfectly sized for your label sheets.

Label Size & Format

Choose which label sheets you'll be printing on. The PDF layout will match exactly.

Choose Your Label Fields

Check the fields you want on each sticker. Drag the handle (⋮⋮) to reorder — the order here is the order they'll appear on the label, top to bottom. The live preview updates in real time.

  • ⋮⋮
  • ⋮⋮
  • ⋮⋮
  • ⋮⋮
  • ⋮⋮ from folders, index file, or filename
  • ⋮⋮ from index file or filename

Sort Order

Choose how students are ordered in the generated PDF.

Grade and teacher are read automatically from your ZIP — a PSPA index file, GotPhoto's grade → teacher folder structure, or combined folder names like 01_Mrs_Smith.

Live Label Preview

Long names wrap to two lines automatically instead of shrinking.

actual size: 1" × 1½"

Your Filename Format

Name each photo file like this (based on your field selections above):

Emma_Johnson_3.jpg

See More info on how to name your files below for step-by-step GotPhoto & Lightroom export guides.

ServiceStix reads student data from your ZIP in three ways, checked in this order — use whichever your photo software gives you:

Option 1 — PSPA / yearbook export (zero setup)

If your ZIP includes a PSPA index file (INDEX.TXT, MASTER.TXT, or a .csv — the standard yearbook disk format), ServiceStix reads every student's name, grade, teacher, and student ID from it automatically. Filenames don't matter at all. Both tab- and comma-delimited files work, with or without a header row.

Option 2 — GotPhoto folder structure (zero setup)

If your ZIP keeps GotPhoto's standard download layout — a grade folder containing teacher folders containing each student's photo — Grade and Teacher are read from the folders automatically:

Grade 3 / Mrs Smith / Emma_Johnson.jpg

Filenames then only need FirstName_LastName. Combined folder names like 01_Mrs_Smith work too.

Option 3 — everything in the filename

No index file or folders? The filename tells ServiceStix who each student is. Fields are separated by underscores (_). The exact fields required depend on what you've enabled above.

Filename format (fields in this order):

FirstName_LastName_Grade_Teacher_StudentID.jpg

Include only the fields you've turned on. School Year is entered in the app — it does not go in the filename.

Examples

First Name + Last Name + Grade only:

Emma_Johnson_3.jpg

First Name + Last Name + Grade + Teacher:

Emma_Johnson_3_Smith.jpg

All fields enabled:

Emma_Johnson_3_Smith_100245.jpg

Exporting from GotPhoto

  1. In GotPhoto, open your job and click Download Photos (or Bulk Download).
  2. Choose Original / High-Res photos.
  3. Under Filename Pattern, choose Custom.
  4. Build a pattern using the student data fields in your job:
    {first_name}_{last_name}_{grade} — add _{teacher} or _{student_id} if you've enabled those fields.
  5. Download — GotPhoto will create a ZIP file you can upload directly here.

Exporting from Lightroom / other software

  1. Use File > Export with the File Naming template editor.
  2. Build a custom template using metadata tokens for each student field, separated by underscores.
  3. ZIP the exported folder and upload it here.
Tip: Students are automatically sorted A–Z by last name in the final PDF — no need to sort your files before uploading.
